5.3 - Sharing, Permissions and Exporting a Report

Previous Section: 5.2 - Using Templates to Building a Report

How to Share a Report

Sharing a report is a great way to keep your team and external stakeholders informed. Cascade makes it easy to collaborate by offering different ways to share. To share, click the Share icon in the top right corner of the report.

  • Sharing with internal users: Enter the email address or team name of the person you want to share with, assign them a permission level (can view or can edit), and click Share.

  • Sharing with external stakeholders: To share a report with someone outside your workspace, you'll need to export it.

Understanding Report Permissions: Control Who Sees What

Permissions are your way of ensuring the right people see the right information. By default, all reports are private for your peace of mind, meaning only you and admins can access them. This gives you time to perfect the report before sharing it with a wider audience.

  • Public vs. Private:

    • Private reports are perfect for sensitive data. You maintain complete control by inviting specific users or teams to view/edit them.

    • Public reports are for information that should be visible to everyone in the workspace. It's a great way to promote transparency and keep the entire team on the same page

  • Choosing Permissions:

    • Can edit: Grant this permission when you want to work together on a report. This is ideal for collaborative projects.

    • Can view: Use this for sharing final reports or read-only information. It allows stakeholders to stay informed without accidentally making changes.

  • Managing Access: You can always update or remove a user's access from the Share modal. This flexibility gives you peace of mind that your data remains secure.

Exporting Your Report: Present Your Findings with Confidence

Exporting is how you package your insights for an external audience. Whether you need a formal PDF or raw data, Cascade provides an option.

  • Exporting to PDF: When you're ready to share your report outside of Cascade or you want a static snapshot of progress, a PDF is the go-to choice.

    • Choose PDF Standard if you plan to share the document digitally. It's designed to look great on a screen.

    • Select PDF Printable if you need a version optimized for physical printing. This option ensures your report fits perfectly on the page.

  • Exporting to CSV: For those times when you need to analyze the data yourself or import it into another system, exporting to CSV is the way to go. Just click the three dots on any chart or table in Edit Mode and select Export to CSV to get the raw data.

A Note on Interactivity: Remember that exported PDFs are static snapshots of your report. For an interactive experience, consider inviting users as "viewers" to your workspace. This is the best way to let them explore the data and see the full picture.
